Schedule:
The Department of Loans at the National Gallery will contact the borrower each fall to inquire about renewing the works on loan . Once the Department of L oans has received the signed confirmation letter of the borrower's wish to renew a conservator will contact the responsible office to arrange a time to inspect the works (this timeframe can vary depending on when renewal paperwork is signed and received from the borrower). To arrange shipment and installation of works or if works need to be moved for any reason (i.e. renovations or major work projects in the vicinity of the artwork) the borrower must contact Holly Garner in our registrar's office at 202.842.6237 or via email h-garner@nga.gov.
Policy and Procedure:
(the policies below are sent with the loan approval letter)
1) The Board of Trustees of the National Gallery of Art may, in its
discretion, extend loans from its collections to certain senior United
States Government officials (the President, Vice President, Cabinet
Members, and Justices of the Supreme Court) for the decoration of
their offices in Federal Buildings.
Once the NGA is notified of the final selection of artwork, every effort is
made to have the loan officially approved and the works prepared for
shipment within six to eight weeks (the delivery and installation of
artwork is also subject to the transit schedule of the Gallery's Registrar's
office.

2) Such loans are granted for one year at a time and may be renewed. In the event a loan has been in effect for less than six months at the end of the initial calendar year, the first renewal will fall due at the end of the following calendar year.
3) In the late fall, the NGA will inquire in writing if the borrower wishes to retain the loans through the following year. Prior to each renewal, all loans must be inspected for their condition and approved for renewal by the Gallery's conservators who will make appointments for such inspections.
4) Borrowers will be advised in wiling when renewals of loans have been approved, usually in late January/early February.
5) Loans are granted without cost to borrowers.
6) The National Gallery of Art reserves the right to withdraw any loan. 'This shall include the right to make temporary' withdrawals for special exhibitions, conservation treatment, photographic needs, or other purposes.
7) Loans are not transferable and shall be automatically withdrawn upon the expiration of tenure of the official to whom they were granted.
8) Loans will be delivered by the Gallery's art handlers who will hang paintings and mount sculptures, etc. Loans may not be hung, moved, unframed, cleaned, or handled in any manner by other persons under any circumstances. The Gallery's staff will be pleased to relocate any loan upon request of the official to whom it was granted, (contact Holly Garner at 202.842.6237)
Display Requirements:
1. All paintings must be framed and glazed for loan.
2. NGA will attach hanging devices to frames and must be contacted if additional hardware is required.
3. Works should not be installed in heavy traffic areas where art objects are at risk of being touched or brushed,
4. No picture lights may be installed on NGA frame or on the wall over or near NGA paintings.
Light levels:
5. Flowers, decorative items, furniture, fax and/or copy machines should not be placed in close proximity to the paintings.
1. Natural, quartz, tungsten-halogen, and fluorescent light will be filtered for ultraviolet radiation.
2. Works of art on paper will be stored and exhibited only in incandescent light or other light that has been filtered to remove at least 97% of the ultraviolet radiation.
3. Light levels will be measured with a calibrated footcandle/lux meter and must not exceed the following levels:

Our conservator had a chance to look at the paintings and we have two that are available- see the attached list. Hi SeVera,
I have been looking through our collection data base and we do not have many to choose from since most of them are already on the walls here at the gallery. We do not have a Hamilton, Madison or Theodore Roosevelt available to lend.
I found three paintings that are a possibility - James Monroe, John Adams, John Marshall - but the conservator has to examine them first because they have been in storage. That will probably take a week or two. If Mr. Pruitt is not interested in any of these paintings, let me know.

Dear Ms. Wilson:
Thank you for the follow-up information about Mr. Pruitt's interest in paintings for his office suite at the EPA. We will see if there are any portraits available in storage for the individuals you have listed below, though as you can image, they are our top individual for being on view.
The National Portrait Gallery loan policy for high ranking government officials stipulates that portraits could be lent for installation in the administrator's personal office or immediate reception area only and that the facility must meet minimum museum requirements for stable environmental conditions (temperature, humidity and light levels) as well as the security status (24/7 physical on-site and/or electronic surveillance), etc. Let us first determine if we have any portraits available, then we can go from there to obtain facility information. I've copied Beth Isaacson, Exhibitions Assistant in my department, as she will research potential loans and if we have anything available in storage, she'll provide a list of those options for Mr. Pruitt's review and pursue the facility information at that time.
On a related item, the National Portrait Gallery (NPG) does not collection landscape paintings. I believe you mentioned that you have been referred to me by Jenni Lee at the Smithsonian American Art Museum (SAAM). I'm copying her on that request in case SAAM might have any American landscape paintings available for loan to Mr. Pruitt's office.
